How do payments and invoicing through Useme work?

Useme handles payments and invoices for my work. I prepare the project, agree the scope with you and make the agreed changes. I bill all ActiveAI services this way.

We agree on the scope and amount

You receive a description of the work, the final gross price, the payment deadline and schedule. You provide the buyer's details and the email address for the documents.

You review the payment details and pay

Useme sends you an email with terms and payment instructions. You compare them with the quote. You don't need a Useme account to pay via the link in the email.

You receive the documents

Once payment is received, Useme normally sends a VAT invoice. I also share payment information in the ActiveAI client portal, alongside project decisions and materials.

Before paying, check what you are approving

Payment before the project begins and payment after the work is completed have different acceptance procedures. When preparing your payment, I'll explain which method we use and when you confirm the work has been completed.

Useme - invoices and formalities

What the platform is, how to pay and what the messages you receive mean.

Return to category ↑
What is Useme, and why am I receiving messages from it?

Useme is a platform that handles payments between customers and contractors. I use it to process payments and issue invoices for my work. You receive a message when I set up the payment for the agreed job.

Who carries out the project, and who issues the invoice?

The project is handled by me—Paweł Kucharczyk, ActiveAI. You and I agree on the scope, materials, deadline, and revisions. Useme is the invoice issuer and payment recipient. Therefore, the document displays Useme's details, and the item description refers to the commissioned work.

Do I need to create an account on Useme?

You don't need to create an account to receive messages, pay bills, or receive invoices via email. An optional Useme account helps you store your documents in one place. The ActiveAI panel account is separate and is used to manage your project.

What happens between accepting a quote and receiving an invoice?

We agree the scope, gross price and schedule. I set up the job in Useme using your details, and Useme sends the relevant confirmations and payment instructions. You check the details and pay as agreed. Useme normally sends a VAT invoice after receiving payment. The work acceptance procedure depends on the payment mode selected.

What is the difference between paying before work starts and paying for completed work?

In “Sign a contract” mode, you accept the proposal online and pay a pro forma invoice before the work is completed. Useme holds the funds until the work is accepted. In “Issue an invoice” mode, the invoice covers completed work, and paying the pro forma invoice normally constitutes acceptance. I explain which method applies before you pay.

Does the payment to Useme go directly to the contractor?

It depends on the mode. In “Sign a contract” mode, Useme holds the funds until the work is accepted. For completed work, payment may also authorise release of the funds. Read the terms and response deadline in the Useme message; not every mode includes a separate approval after payment.

What should I do when I receive a message from Useme?

Compare the job description, amount, due date, and invoice recipient details with the approved quote. Check whether the message concerns contract conclusion, payment, or work acceptance. If anything is incorrect, please contact me before confirming or paying. Keep the billing number for future contact.

What is the difference between a pro forma and a VAT invoice?

A pro forma invoice provides payment details and is not an accounting document. A VAT invoice records the transaction and is normally sent after payment is recorded. Both relate to the same amount: receiving the VAT invoice does not mean you need to pay again.

Why is my Tax Identification Number not on the pro forma?

According to Useme's rules, the pro forma invoice does not include the buyer's Tax Identification Number (NIP). Company details, including the NIP, should be included on the VAT invoice. Provide the correct NIP when preparing the settlement; its absence on the pro forma invoice does not mean that you should pay as an individual.

Where and how should I pay?

Open the payment link in the Useme message or use the bank details on the document. Useme offers methods such as BLIK, card and bank transfer; choose an option available for your payment. For a standard transfer, enter the contract number beginning with “UM” as instructed. The link in the ActiveAI portal takes you to Useme.

When and where will I receive my VAT invoice?

In the standard process, Useme issues and sends an invoice after payment is received, to the email address provided for billing. If you have a Useme account, you can also find the document next to the contract. I can provide a copy or a link in the ActiveAI panel. Check your spam folder if the email hasn't arrived.

Can I receive a VAT invoice before payment?

Useme also offers a VAT invoice without a prior pro forma invoice. This requires an agreement and an additional fee under the platform’s rules. If your purchasing process requires it, tell me before I prepare the payment so I can check availability and cost.

What information is needed and can I order as a private person?

You can order as a business or an individual. For a business, provide its full legal name, address, Polish tax identification number (NIP) or relevant foreign tax number, and billing email address. Individuals should provide the buyer’s details and email address. If you represent a business outside Poland, tell me before I prepare the quote and documents.

What should I do if the data or amount on the document is incorrect?

Before paying, please report any discrepancies to me. You can also report changes to the pro forma invoice by replying to Useme's message. If the VAT invoice has already been issued, the necessary changes should be reported to the invoice issuer, Useme. Do not edit the received PDF yourself.

What should I do if I paid and haven't received an invoice or confirmation?

First, check your payment confirmation, email address and spam folder. Processing may take time. Do not pay the same amount twice. Send the job reference and payment confirmation to Useme support, and let me know in the project chat so I can check the status.

What do I do in the ActiveAI portal, and what do I do in Useme?

In the ActiveAI panel, you submit materials, discuss the project, accept the quote, and review the provided documents. In Useme, you pay the bill and complete the confirmations required for the selected mode. Acceptance in the ActiveAI panel does not automatically replace confirmation in Useme. I update the payment status in my panel after reviewing it.

Where should I send project feedback or report a payment issue?

Share project feedback in the ActiveAI portal. If Useme sends a request to accept the work, also respond there within the stated deadline. For payment processing, invoices or formal disputes, contact Useme support and include the job reference. The order terms and platform rules apply.

Quotes and payments

I bill all my services through Useme. Before payment, you'll know the scope, final amount, and agreed-upon schedule.

Return to category ↑
Are the prices on the website net or gross?

Each price is labelled as net, gross or “+ VAT”, and as either a one-off fee or a monthly charge. A starting price applies to the scope described. Before you accept a quote, I confirm the final gross amount payable for your project.

Does the price include Useme fees?

Before you accept, I confirm the final amount payable, including taxes and payment processing costs. Check that it matches the scope in the quote and the Useme document. Contact me before paying if anything is incorrect.

Is payment upfront or after the work is completed?

I establish a payment schedule for a specific job and include it in the quote. Before accepting, you'll learn when payment is due and whether we're settling the entire bill or in agreed-upon stages. The subscription also specifies the period covered by the fee. All agreed-upon payments are processed through Useme.

What does accepting a quote in the portal mean?

You confirm the stated scope, price and delivery terms. You then complete payment and any required confirmations through Useme. Read the message before paying: in some modes, paying the pro forma invoice also constitutes acceptance of the completed work.

I paid, but the panel still shows an amount due. What should I do?

I update the status in the ActiveAI panel after payment confirmation in Useme, so it may take a while to appear. Don't make another payment just because the status hasn't changed yet. Please contact me in the project conversation with your billing number.

How are project stages and monthly services billed?

The quote identifies the stage or service period covered by each payment. If we split a project into stages, each payment covers the scope described. For SEO or maintenance, I specify the service period and payment deadline. I arrange payments through Useme and share their status in the ActiveAI portal.

Can I pay you directly?

I bill all ActiveAI services through Useme. Pay using the details you receive. Before we start working together, I explain the process and confirm the final amount due.

Getting started

From the first inquiry to the agreed scope.

Return to category ↑
What should I send in my first enquiry?

Describe what your company does, what you want to achieve, and what you need. Provide your current website address, if you have one, your expected timeframe, and an estimated budget. You can include examples of solutions that work for you.

Do I need to have a ready-made specification?

No. We can start with a description of the problem and the desired outcome. I can help determine the scope and information needed for a quote. For larger projects, we separately agree on the scope of analysis and specification preparation.

Can collaboration take place remotely?

Yes. I implement projects remotely for companies across Poland. Details, materials, and decisions are organised in the client portal. The location of the in-person training is determined before booking.

Who will I contact?

You speak directly with me—Paweł Kucharczyk. I establish the scope, manage the project, and am responsible for the agreed-upon work.

When does implementation begin and what does the deadline depend on?

I confirm the deadline in my quote. Commencement depends on the approved scope, agreed-upon payment terms, and the provision of necessary materials and access. Missing information, pending decisions, or changes to the scope may impact the schedule.

Client portal

One place for the project, materials, approvals and documents.

Return to category ↑
How do I get access to the portal?

Once we have agreed to work together, I create your account and send an invitation. Use the link to set your password, then log in using the client portal button in the website menu.

What will I see after logging in?

You can view your projects, work stages, progress, messages, materials, quotes and shared billing documents. SEO projects also include published reports.

How do I submit files and comments?

Upload files in the materials section and add questions or comments in the project conversation or relevant approval item. This keeps decisions linked to the task.

How do I know you're waiting for my answer?

The dashboard displays items requiring your attention, such as briefs to complete, materials to deliver, and items to approve. You can also check project messages.

Does sending feedback count as approval?

No. Comments are used to discuss changes. When an item requires approval, use the relevant approval control in the portal. Approving a quote refers to a specific version of the scope and price.

Where can I find my invoice and payment information?

In the "Invoices" tab, you can see shared invoices, amounts, due dates, and statuses. I can attach a PDF or a Useme link. You can also receive the Useme document via email.

Can other portal users see my project?

The panel requires login and assigns projects to the appropriate client. Your project's materials and conversations are available to you and the administrator managing the collaboration.

Implementation and scope changes

How we agree on corrections, additional tasks and acceptance.

Return to category ↑
What exactly does the price include?

I describe the scope in the quote: pages, features, integrations, materials and handover. The website’s package descriptions help you compare options; the approved quote defines your actual project.

How many rounds of revisions can I request?

I determine the scope and number of revision rounds before starting. It's best to consolidate comments for a given release into a single list. New features and changes beyond what was agreed upon may require additional pricing.

Can I add another task during the project?

Yes. I describe the extra task and its price, and you approve the quote in the portal before I start that work. We also agree any effect on the delivery date.

How is completed work accepted?

Before launch, we define what needs to be done and how we'll verify the results. I submit completed elements for review, and you provide feedback or approve them in the dashboard. Upon completion, you'll receive the agreed-upon materials and a summary.

How do I transfer access to a website or tools?

First, I determine what permissions are needed. If the system allows it, prepare a separate account with access to the agreed-upon scope. We will discuss the data transfer method individually; passwords and API keys should not be entered in the public form or brief.

Websites and online stores

Technology, content and maintenance costs.

Return to category ↑
Will I edit the website myself?

Yes. WordPress and a content editing dashboard are included as standard with every website package. At handover, I explain which parts you can edit and how.

What is the store built on?

I create stores using WordPress and WooCommerce. The scope includes an agreed-upon catalogue, shopping cart, orders, and selected payments and shipping. Integrations with additional systems are determined before the quote.

Do you prepare copy and photos?

Before quoting, we agree what you will supply and what I will prepare. Copywriting, stock photos, translations and graphics are included in the agreed scope or quoted as separate items.

Are domain and hosting included in the price?

Domain and hosting are separate maintenance costs. I can help you choose the right solution for your website or store, and I'll explain the cost and renewal terms before purchasing. Paid licences also require agreement.

Will the site work on a phone?

Yes. I prepare the layout for both mobile and desktop, and before submitting, I review the agreed-upon subpages and important features. In the store, this also includes the purchase path.

SEO and website maintenance

One-off orders, subscriptions and reporting.

Return to category ↑
What is the difference between an audit, one-time optimisation, and ongoing SEO?

The audit identifies issues and priorities. A one-time optimisation includes implementing an agreed-upon list of fixes. Ongoing SEO involves monthly work on subpages, visibility, publications, and analysis of results within the selected package.

What is the minimum term for ongoing SEO?

The contract lasts for a minimum of three months. After this period, the collaboration continues, and either party may terminate it with 30 days' notice.

Does monthly SEO include paid publications with links?

Yes. Each level includes a specific budget for paid publications with links. I display publication locations and expenses in the report. Any unused portion of the budget can be allocated to a more expensive publication in subsequent months of cooperation.

How do you monitor SEO and what is in the report?

I use Google Search Console, Google Analytics 4 and Ubersuggest. Ongoing SEO includes tracking up to 20, 50 or 100 keywords, depending on the package, with weekly ranking updates. The monthly report includes available performance data, completed work, publications and next priorities.

Do you guarantee Google rankings or a date for traffic growth?

I don't guarantee rankings or specific traffic increases. I'm responsible for the agreed scope and verification of the work performed. Search engine results also depend on competition, the site's condition, and the time required to process changes.

Do you maintain websites made by someone else?

Yes, after checking the technology, condition of the website and available access. You can request one-off support or agree a monthly plan. I set out the scope, service hours, response time and cancellation terms before starting.

Automation, AI and training

Scope of implementation, tool costs and preparation for learning.

Return to category ↑
Does every automation require AI?

No. I tailor the solution to the task. If a script or a combination of existing systems is sufficient, this scope may be the right choice. I include AI where it helps achieve an agreed-upon result.

Are there any further costs after implementing an AI agent?

There may be fees for using AI models, hosting, licensing, and maintenance. Before launch, I determine what the implementation price includes, what external services will be required, and how their use will be billed.

Does the agent make changes and send messages itself?

We agree the agent’s permitted actions and required approvals before implementation. Drafting a response does not automatically send it, and producing recommendations does not automatically change data.

Are the training courses for beginners and teams?

Yes. I offer individual and team training tailored to participants’ experience. No coding is required. The programme includes practical tasks, planning work with AI and checking the results.

What should I prepare for training?

Participants use their own or company computers with internet access. Before the meeting, I discuss account and tool requirements. We can work on agreed-upon company samples, after removing confidential and personal data.

Have a question about your project?

Describe what you need. I'll explain the scope, costs, and how we'll work together before we begin.
