Orders and availability
Store orders are transferred to the inventory system. Stock availability can be sent back to the store if the agreed integration supports it.
No manual re-entry of order items.
I connect business applications so agreed orders, product data and stock availability can move between them. You work directly with me to define the data flow, check what each system supports and test the connection before launch.
Here are some examples. I confirm what is possible after reviewing the applications and the access included in your plans.
Store orders are transferred to the inventory system. Stock availability can be sent back to the store if the agreed integration supports it.
No manual re-entry of order items.
The form sends contact details and the enquiry to your customer database, where you can review the customer’s needs later.
You do not copy contacts from messages.
Selected sales information is transferred to a spreadsheet in a pre-defined format. We define the columns, date range, and update frequency.
You don't collect the same data from scratch.
Do you have a WooCommerce store and manually transfer orders to another application? Start with one data flow. We agree what goes to the inventory system and what comes back to the store, such as stock availability or order status.
I map products and variations using agreed identifiers, such as SKU. We define which system controls availability, how reservations and any stock buffer affect it, and which fields the integration may change. Prices and descriptions are separate from stock updates and are included only when agreed.
We agree when an order reaches the warehouse, which details are required and how fulfilment statuses return to WooCommerce. I check missing data and repeated requests so a retry does not create another order. Invoices, shipment labels and tracking updates require their own agreed scope.
It's worth establishing the necessary connections before building your catalogue and order processing. If you're creating a new store, check out my WooCommerce development service with integrations . If you'd like to explore the dashboard and system's capabilities first, read the WooCommerce guide .
I confirm integration options, required account plans and provider fees before quoting. Not every connection is available as a ready-made plugin.
Connected data can also support sales profitability analysis. Explore my e-commerce sales and cost reporting project: sales, fees, advertising, shipping and returns in one view, with clear indicators of data completeness.
The example illustrates an order moving from a store to an inventory system, including complete data and missing information. Try both scenarios and a repeated transfer to see how missing data and duplicates are handled.
The result area shows a confirmation or explains what needs correcting.
The demonstration uses fictional data and does not connect to a real store or inventory system.
Before implementation, we define what the connection can do. You get a clear way to operate it and verify its results.
By button, at set intervals, or after an event, such as a new order. Available options depend on the programs being combined.
You can check execution history and confirmations. If data is missing or a program is unavailable, you'll see information about the cause.
We agree how to stop automatic runs. Pausing does not undo data already transferred.
We agree which information moves in each direction. Updating both systems needs separate rules, including which system holds the authoritative price.
The program runs on your computer whenever the device is turned on and has the necessary access. If you need to work independently of your computer, we will discuss the feasibility of running it on a server and the cost of maintaining it.
A supported system name is only a starting point. I check the actual version, access and workflow before confirming what I can deliver.
I review the API or supported file exchange, required account plan, access permissions and provider limits. We identify the source of each field, product and variation mappings, update direction and the expected volume of work.
I also check the processes that affect the result: reservations, cancellations, partial returns and more than one warehouse or sales channel. If a ready-made connector fits, I explain that option; if a required connection is unavailable, I say so before proposing implementation.
The agreed acceptance checks cover correct records in both systems, missing information, retries, an unavailable application and older updates arriving after newer ones. We define how failures are recorded, who responds and how to pause subsequent runs.
I use a test environment or an agreed, isolated data set. A stock update must leave unrelated prices and descriptions unchanged. Handover includes the agreed field mappings, operating instructions and test results. Restoring a configuration must not discard real orders received in the meantime.
Example: an order for three units is transferred once; repeating the request should not create another warehouse order or reserve the same stock twice. This is an acceptance scenario to test in the connected systems, not a claim that the on-page simulation connects to a real warehouse.
You work directly with me. I first check the integration options, then present the scope, price and delivery date.
The cost depends on the applications, the amount of information transferred, the direction of data exchange and how often the integration runs.
Any provider fees, server costs and ongoing support are listed separately. Changes to the connected applications may require updates to the integration.
Ask about an integrationA short description is enough. You do not need to know the technical terms.
For example: ‘I have an online store and an orders spreadsheet. I want new orders added to the spreadsheet every hour.’ Do not send passwords or access keys for the initial discussion.
I will check based on the application names and the data you need to exchange. Not every application provides the required connection, and some features need a paid plan. I confirm the options before preparing a quote.
An API is a way for applications to exchange information. Where no API is available, files may be an option, such as exporting and importing a spreadsheet. I will check the possibilities; you do not need to analyse the documentation yourself.
That depends on both applications. We agree whether data is transferred after an event, at set intervals or only when you run the process. Not every tool supports immediate updates.
I design checks for required data and a record of the result. If a problem occurs, you can see the reason. We agree retry rules and how to recognise entries already transferred to reduce the risk of duplicates. The safeguards depend on the capabilities of the connected applications.
Yes, if both applications support it and it is included in the quote. We agree which data can be changed on each side and what happens when the two systems contain different values.
Before work begins, we record how to report errors, the correction period and the response time. Ongoing support, new features and changes needed because of external applications are agreed and quoted separately.
Tell me their names and describe what needs to pass between them. I will check the options.

Before work starts, I agree the scope, hourly rate and maximum billable hours with you. If I finish sooner, you pay less. If the agreed scope takes longer, I absorb the extra time.
Additional tasks outside the agreed scope require a separate quote and your approval before I start them. Extra time needed to complete the original scope does not increase your bill.
You receive a summary of the time worked. The cap covers my fee for the agreed scope. AI usage, hosting, hardware and paid tools are separate costs, which I explain and agree with you before purchase or activation.
